Payment & Cancellation Policy

A clear, upfront explanation of how payment, rescheduling, and cancellations work — so there are never any surprises when you need us most.

We know that reaching out during a difficult time takes courage. This policy exists so that you always know exactly what to expect from us financially — no fine print, no surprises, and no pressure. If anything here is unclear, please ask before booking.

Private Pay Services

All services are private pay. Next Move Care Navigation does not bill Medicare, Medicaid, or commercial insurance for advocacy and care-navigation services, and cannot guarantee reimbursement from an insurer, employer, flexible spending account, or health savings account.

How Payment Works

The standard fee for the Care Clarity Intensive is $499. Unless otherwise agreed in writing:

  • A 50% reservation payment ($249.50) is required to reserve your scheduled consultation.
  • The remaining balance is due no later than 24 hours before your scheduled session.
  • Your reservation payment is applied directly toward your total service fee.
  • Once individualized intake review, document review, or consultation preparation has begun, the portion of the fee associated with that completed work is considered earned.

Rescheduling

You may reschedule your consultation one time at no charge with at least 48 hours' notice, subject to availability. A request to reschedule with less than 48 hours' notice, or a second rescheduling request, will be treated under the cancellation terms below.

Cancellations & Refunds

Refunds of your reservation payment are handled according to how much notice you provide:

  • 5 or more days before your consultation Full refund of your reservation payment
  • 2–4 days before your consultation 50% of your reservation payment refunded
  • Less than 48 hours before, or a missed appointment Reservation payment is forfeited

Regardless of timing, once individualized document review, research, or consultation preparation has begun, the portion of your fee reasonably associated with completed work is considered earned and is non-refundable.

Follow-Up Sessions

The same general approach applies to the $299 Follow-Up Consultation, adjusted proportionally for its shorter preparation window and fee.

Exceptions

We understand that documented emergencies and extraordinary circumstances happen. The Practice may waive or modify any cancellation charge at its discretion in these situations — please reach out and explain your circumstances.

How Refunds Are Issued

Approved refunds are returned to your original payment method, typically within 10 business days of approval.
